Separate the production deadline from the pickup date

Give the date and time when the goods will actually be ready, then state the latest acceptable arrival at the factory. Include booking references, gate instructions and receiving hours. If one part of the shipment is urgent, identify it separately: the team can review whether a dedicated movement for that part is more appropriate than treating the entire order as urgent.

Choose shared or dedicated capacity around the load

Regular palletized components can be reviewed for shared road capacity. A fixed production window or a load needing fewer handling stages may justify a dedicated vehicle. FTL, LTL and express requests are assessed against the same practical facts: dimensions, gross weight, stackability, route and available loading equipment. A small shipment does not automatically mean that a minivan is suitable.

Keep machinery separate from standard parts

A crated machine and cartons of spare parts need different handling information. List each machine's packed dimensions, weight and any known lifting or access restrictions. Send available drawings or photographs to the team when discussing the request. Equipment selection and loading arrangements need confirmation; they cannot be established from total cubic metres alone.
